Board of Director Treasurer Description

Position: The Treasurer is a one-year volunteer position on the Board of Directors and is elected at the annual meeting by the current Board of Directors. Requirements of a Director apply to each elected position. The Treasurer is the principle accounting and financial officer of the corporation. The Treasurer operates under the direction and control of the Board members and reports to the Board and the President. All officers must provide information to the Directors as requested.

Duties:
 

  1. Balance the checkbook monthly.
  2. Track the budget on a monthly basis and present detailed account activity (checking and savings), list of donations, Profit and Loss statements, and current balance as the Treasurer's report at the monthly board meetings. Copies of the Treasurer's report must be available for all Board and staff members at the board meeting.
  3. Prepare and submit to HFHI and report to the directors the required quarterly tithe.
  4. Prepare and submit to HFHI the required annual HFHI financial reporting of affiliate operations and any other financial information as requested.
  5. File all local, state and federal tax and accounting documents as required.
  6. Develop the annual budget in conjunction with each committee chair and other officers. The annual budget must be presented to the Directors and staff at the appropriate board meeting. A copy of the budget must be available for all Directors and staff at the board meeting.
  7. Maintain and update the approved accounting software as appropriate.
  8. Train the Administrative Coordinator on the use of approved accounting software for daily operations.
  9. Maintain the spreadsheets for the Oshkosh Community Credit Union for management of monthly partner family mortgage payments.
  10. Work with the officers to investigate issues and to prepare, propose and implement strategies regarding operations of the affiliate.
  11. Act as Advisor to the Fundraising Committee.
  12. Deposit funds, transfer funds and sign checks as necessary.
  13. Perform any duties as from time-to-time may be assigned by the Board.

Attendance:

    The Treasurer is expected to attend and participate in the following:

  1. Monthly Board meetings are currently held on the 2nd Tuesday of each month at 6:30 p.m. at the Habitat office. The Treasurer must notify the Habitat office by the end of office hours the Monday prior to the meeting if unable to attend.
  2. Monthly officer meetings are held at a time agreed upon by all officers. The Treasurer must notify the Habitat office by the end of the office hours the day prior to the meeting if unable to attend, and is responsible for supplying necessary information to the Habitat office prior to the meeting.
  3. The annual strategic planning session is typically held on a Saturday in January or February.
  4. The annual meeting is typically held on the third Sunday in September or October.                                                                                                                                                                                                                                                                                                            The Treasurer is strongly encouraged to attend and participate in the following:
  5. One "Director Build" at the Worksite on a Saturday designated by the Board. This is necessary to familiarize each Director with a build site for better oversight of the organization operations, to serve as publicity for the organization and to act as a team-building event.
  6. Special occasions in representation of Habitat such as groundbreaking ceremonies, house blessings and volunteer appreciation events.
  7. Regional and state-wide training.

Time:
  1. Monthly board meetings are 2-3 hours, depending on the agenda. Anticipated time to perform monthly Treasurer's duties is 3-6 hours/month.
  2. The officers meeting is typically one hour.
  3. Preparation of the annual budget will be performed during the officers meetings as appropriate.
  4. A strategic planning session is 6-8 hours in length.
  5. The annual meeting is 1-2 hours, depending on the agenda.
  6. Saturday build days are from 8 a.m. to 4 p.m. with lunch provided.
